The 5 Questions Every Vendor Demo Should Answer (And Most Don't)

Structured demos separate real capability from slide-deck promises. Use these five questions to cut through vendor theater.

Vendor demos are designed to impress, not to inform. After hundreds of CCaaS evaluations, the pattern is consistent: the demo shows the happy path, the integration diagram looks clean, and the AI features run on rehearsed scenarios. Then implementation starts, and the gaps appear.

Structured demos fix this — but only if you ask the right questions upfront. Here are five that separate vendors who can deliver from vendors who can present.

**1. Show us our use case, not yours.** Ask each vendor to demo a scenario from your actual member journey — authentication, account inquiry, loan status, or whatever drives your volume. If they can't adapt, they can't implement.

**2. What breaks when our CRM data is incomplete?** Every vendor assumes clean data. Ask what happens when member records are stale, when the core banking integration lags, or when authentication fails mid-session.

**3. How do we audit AI decisions?** Whether it's routing logic, agent assist suggestions, or automated responses — you need a clear answer on logging, explainability, and human override. Vague answers here are a red flag for regulated environments.

**4. What's included vs. what costs extra?** AI features, WFM modules, analytics tiers, and integration connectors often sit outside the base license. Get specific on line-item pricing before you shortlist.

**5. Who implements this, and how long for an institution our size?** Ask for references at comparable asset size and complexity. A platform that works for a $50B bank may be overkill — or under-resourced — for a $2B credit union.

The goal isn't to trap vendors. It's to create a level playing field where your team can compare apples to apples — and make a decision you'll still defend three years from now.
